Real estate email signature generator
Build a clean agent email signature in three layouts, preview it, and copy it as rich text or HTML for Gmail, Outlook and other email apps. Everything stays in your browser — nothing you type is sent anywhere.
How to add the signature
Gmail
- Press Copy rich text above.
- In Gmail, open Settings (gear icon) → See all settings → General, and scroll to Signature.
- Choose Create new, name it, click in the box and paste (Ctrl+V, or Cmd+V on a Mac).
- Pick it under Signature defaults and press Save changes at the bottom of the page.
Outlook
- Press Copy rich text above.
- Outlook for the web and the new Outlook: Settings → Accounts → Signatures (or search “signature”), then New signature and paste into the box.
- Classic Outlook for Windows: File → Options → Mail → Signatures, then New, name it and paste into the edit box.
- Set it as the default for new messages and replies, then save.
Menu names change between versions, so if yours looks different, search your email app’s help for “signature”. Send yourself a test email and open it on your phone as well as your computer before you rely on it. If an app has a signature field that accepts HTML source, use Copy HTML instead.
What a good agent signature includes
Keep it short: your name and title, your brokerage, one phone number, your email and a website or listing page. A small headshot helps clients recognise you. If your brokerage or local rules ask for a licence number or an Equal Housing line, add them with the optional fields and use the exact wording your brokerage gives you. Skip quotes, long disclaimers and big banners: they push your phone number below the fold and are often cut off by email apps.
About the headshot
The signature links to an image rather than embedding it, so the image must already be online at an https address, for example on your brokerage profile or your own site. The preview loads that address straight from your browser. Some email apps hide remote images until the reader allows them, so make sure the signature still works without the photo. A square image around 200 × 200 pixels is plenty.

Common questions
Is the email signature generator really free?
Yes. There is no signup and no watermark. You fill in the form, choose a layout, and copy the signature into your email app.
Does Kadapt see my name, phone number or email?
No. What you type is used only to build the signature on your own screen. It is not sent to Kadapt, stored, or used in analytics. The only thing counted is that someone pressed a copy button.
How do I get the signature into Gmail or Outlook?
Press “Copy rich text”, open your email app’s signature settings, click into the signature box and paste. The notes under the preview give the usual menu path for Gmail and Outlook. Menus change between versions, so if yours looks different, search your email app’s help for “signature”.
What is the difference between copy rich text and copy HTML?
Rich text is the formatted signature, ready to paste into the signature box of Gmail, Outlook and most other email apps. Copy HTML gives you the underlying code, for apps with an HTML signature field or a CRM that asks for source. Most agents only need rich text.
Why is my headshot not showing in some emails?
The signature does not embed the photo; it points to the https address you gave, and the recipient’s email app has to fetch it. Some apps hide remote images until the reader allows them, and the photo only works while that address stays online. The signature still reads fine without it. Use a small square image, around 200 × 200 pixels, hosted on your brokerage or personal site.
Should I add my licence number and an Equal Housing line?
Many brokerages and some states expect a licence number in email or advertising, and many brokerages ask for an Equal Housing line, but the rules vary and this tool cannot tell you which apply to you. Both are optional here. Check your brokerage’s policy and your local rules, and copy any exact wording or logo they require.
Why a table? It looks old-fashioned.
Email apps ignore most modern web layout. Tables with inline styles are still the format that holds its shape across Gmail, Outlook and phone mail apps, so that is what this tool produces. There are no scripts, external stylesheets or background images in the result.
